Total VFD Privacy Policy

1. Who we are
We, TSL Technologies Limited (“we”, “us”, “our”, or “Total VFD”), provide Total VFD — a modern Point of Sale (PoS) mobile application (Android and iOS) and related websites (together, the “Platforms”).

Total VFD helps businesses run day-to-day sales efficiently: issue digital receipts with QR codes, track sales, share receipts with customers, print receipts, and manage related business operations with less reliance on traditional hardware.

We respect your privacy and process personal information in line with applicable Tanzanian law, including the Personal Data Protection Act, 2022, where it applies.

By creating an account or using the Platforms, you acknowledge this Policy.

2. Who this Policy applies to
This Policy applies to business owners, staff who use Total VFD, visitors to our websites, and individuals whose details are entered when you create a sale or customer record.

The Platforms are intended for persons 18 years or older. We do not knowingly collect personal information from children.

3. What we collect
“Personal Information” means information that identifies you or can reasonably identify you. It does not include fully anonymised statistics.

Depending on how you use Total VFD, we may process:

• A. Account information
  Name, mobile number, email address, password (stored in protected form), role (e.g. owner / staff), login and OTP verification data, and app preferences (language, theme, mode).
• B. Business information
  Business or trading name, address, contact details, tax identifiers (such as TIN or VRN where you provide them), and subscription or licence status needed to run your account.
• C. Sales and receipt information
  Sale items, quantities, prices, discounts, taxes, payment methods, receipt numbers, QR verification details, timestamps, and related sales history used for receipts and reports.
• D. Customer information you enter
  Name, mobile number, address, and identification details you choose to add for a sale or customer record (for example ID or tax numbers), so you can issue and share receipts.
• E. Device and POS setup information
  Details of devices linked to your account (such as serial or registration identifiers), and Bluetooth printer name/address so you can print receipts and reports from the app.
• F. Sharing and communications
  Information needed when you share a receipt (for example by email, SMS, or another channel you choose), and messages you send us for support.

• G. Device and technical data
  Device type and operating system, app version, IP address, online/offline status, push notification tokens, and similar technical data used to keep the app working securely.

  On Android, location permission may be requested only to allow Bluetooth printer discovery, as required by the operating system. We do not use it for continuous location tracking or advertising.

• H. Optional security features
  If enabled, the app may use your device biometrics (fingerprint / Face ID) and/or an app PIN to unlock the app or confirm key actions (such as completing a sale or printing). Biometric data stays on your device; we do not receive your fingerprint or face images.
• I. Local data on your phone
  To support smooth PoS use, including offline sales where available, the app may store sales, products, customers, preferences, and related data on your device until it syncs when you are online.

4. If you do not provide Personal Information
If certain information is needed to create your account, complete a sale, issue a receipt, or meet a legal requirement, we may be unable to provide that part of the service until it is provided.

5. How we collect information
• Directly from you when you register, set up your business, make sales, add customers, adjust settings, or contact support
• Automatically when you use the app (technical and usage data)
• From services you use through the app (for example payment or verification services, where applicable)

6. Why we use your Personal Information
We use Personal Information to:
• Provide a reliable PoS experience — sales, digital receipts with QR codes, sales tracking, and reports
• Let you share receipts with customers via email, SMS, or other platforms you choose
• Support printing to paired Bluetooth printers
• Secure your account and prevent misuse
• Send operational notifications (for example important account or service alerts) when enabled
• Process payments you initiate through integrated providers, where used
• Meet legal and regulatory obligations that apply to electronic receipts and business records
• Improve performance, fix issues, and develop features
• Send optional marketing updates if permitted; you can opt out at any time

We process data on lawful bases such as performing our contract with you, complying with the law, legitimate interests (balanced against your rights), and consent where required.

7. Permissions the app may request
• Internet — to sync sales, issue receipts, and update the app
• Bluetooth — to connect thermal printers
• Location (Android, during printer scan only) — required by Android for Bluetooth discovery
• Notifications — service alerts
• Biometrics — optional app unlock or confirmation of key actions
• Storage / files — to save or share receipt PDFs or images
• Audio — optional sound feedback after printing (not for recording conversations)

You can change permissions in your device settings. Some features may stop working if a permission is turned off.

8. Sharing your Personal Information
We do not sell your Personal Information.

We may share it only as needed with:
• Companies in our group that help deliver Total VFD
• Trusted service providers (hosting, cloud, notifications, payment providers) under agreements that limit how they use your data
• Competent authorities when required by law (including for electronic receipt verification or lawful requests)
• Professional advisers under confidentiality
• A buyer or successor if our business is sold or reorganised (they must protect your data in line with this Policy)

If you open third-party apps or websites (for example when sharing a receipt or opening a verification link), their own privacy policies apply.

9. International transfers
We primarily operate in Tanzania. Some service providers may process data outside Tanzania. Where this happens, we take steps to protect your information in line with applicable law.

10. Retention
We keep Personal Information only as long as needed to provide Total VFD and meet legal record-keeping requirements, including:
• Account data — while your account is active and for a reasonable period after
• Sales and receipt records — for the periods required by applicable business and tax laws
• Data on your device — until you log out, clear app data, or uninstall (this does not delete server records we must keep by law)

When we no longer need the data, we delete or anonymise it where practicable.

11. Security
We use appropriate technical and organisational measures to protect Personal Information. No method of transmission or storage is 100% secure. Please keep your password, OTP, PIN, and device secure, and tell us promptly if you suspect unauthorised access.

12. Your rights
Subject to applicable law, you may request access to, correction of, or deletion/restriction of your Personal Information, object to certain processing (including marketing), withdraw consent where processing is based on consent, and lodge a complaint with the relevant authority in Tanzania.

Please keep the information you enter accurate. If you enter customer details, you are responsible for having the right to use that information for issuing and sharing receipts.

13. Marketing
We only send marketing where allowed. You can opt out anytime. Opting out of marketing does not stop important service messages (security, receipts, account notices).

14. Changes to this Policy
We may update this Policy from time to time. The latest version will be published on the Platforms with a new “Updated” date. Continued use after an update means you accept the revised Policy, except where the law requires otherwise.
